We work collaboratively with registrars to ensure a secure and seamless data exchange, and we will deliver all the final reporting automatically after the close of the meeting. From advice for your Notice of Meeting, through to shareholder instructions, rehearsals with your board and end to end meeting delivery management, Lumi is your trusted partner for your AGM.

Lumi can assist with all aspects of meeting communication and help with live meeting documents, and instructions, such as hints and tips or scripts.

Site visits can be coordinated in advance so we can investigate the venue infrastructure, talk to IT staff and test our solutions.

From the point of signing the contract, we can provide consultancy and reports, such as reconciliation, to ensure any data is imported correctly into our system.

Data such as the register, proxy votes, and credentials are sent to Lumi up to 48 hours ahead of the meeting.

Training can be provided to registrars on the registration platform and assistance will be on hand in case any questions arise.

Accounts can be searched, filtered, and found. Once authenticated, participants can be registered to a smart device, proprietary device, or paper poll.

Participants can be registered to accounts in-room or online. In-room, advanced features to link guests, joint holders, or other accounts to the main account can be implemented.

Attendance and quorum can be monitored on remote devices so your key stakeholders can stay up to date. Alerts can be set up discreetly informing you when they register.

Resolutions can be polled one-by-one, or in groups, and complex elections with different vote classes can be accommodated. If procedural motions are required, these can be quickly created.

Shareholders receive instant confirmation of votes cast and can re-cast their votes at any time while the poll is open. Efficient vote all functionality can be activated.

The Board and Chair can see the state of each resolution, including proxy votes, prior to the meeting and watch in real-time as they update.

When the Chair closes the poll the results can be displayed instantly to Shareholders in the room as well as on remote devices.

Questions can be submitted before a meeting through our proxy platform or put to the meeting, by written message or verbally.

The message board and speaker queue are displayed to the Chair and Board of directors on remote devices, that can be customized for different views.

To keep the flow of the meeting moderators can respond directly to participants or append answers to questions and push them to the Chair.

Moderators can also create folders, which can be viewed via URL, or message tags to organize or filter messages. Any participant submitting profanities can be blocked.

Lumi can provide onsite or remote broadcast options organized by your dedicated project manager who supports hardware installs, rehearsals, and running of the live event.

Our in-house offering utilizes bespoke production studios, operated by our own producers, to ensure a professional and high-quality broadcast for your meeting.

The broadcast of the meeting can be provided, with synchronized slides and presentation, plus any pre-recorded videos and web or fixed cameras.

Additional collateral such as scripts and templates can be provided to ensure consistency across materials.

The Lumi platform has the ability to produce a full suite of reports, at any time, giving a full and transparent record of the meeting while providing an up-to-the-minute view on attendance.

If the broadcast was facilitated by Lumi, a recording of proceedings, as well as a copy of all questions received and responses given, will be provided as part of the results.

Registrars will scrutinize the results before publishing them to the stock exchange.
