Instant reporting

The ability to make informed decisions and provide transparency to stakeholders is essential for conducting successful meetings. From registrations and revocations through to results, a variety of reports and a full audit trail are produced automatically through the Lumi platform.

Proxy votes combined with votes in attendance, both in the room and online, provide an accurate and up-to-date picture of how polls and elections stand before the live vote. Real-time displays are configured to show the information you require on remote machines, with instant results delivered at the close of the poll. All voting and messaging interactions are tracked and recorded, packaged in post-event reports, and securely delivered to the company to archive.

The final voting results will display the total number of votes received for each direction, the final percentage results of votes received, and the percentage of ISC that voted at the meeting.

A report can be provided that details every single key button press that a shareholder performs using their voting handset such as the Votes By Attendee Report.

The Revoked Proxy Instructions report details any Chairman Proxy Votes that may have changed due to the vote being superseded at the meeting by a live vote.

The Votes by Account report shows a complete breakdown of the votes received from each individual account/shareholding in the database.

The Lumi platform has been developed in such a way that every single transaction that takes place in the database is always tracked and recorded into an audit log.

This could be the precise time a shareholder attended the meeting if an attendee record was edited and represent multiple accounts if a live vote was cast when an account was then deleted.

Everything is fully audited and identified to the exact client machine that a transaction took place on.

When all results have been scrutinized and signed off by the client, Lumi will conduct a number of procedures to formalize the closure of the meeting.

An End-Of-Meeting Archive folder is generated, and two copies are securely shared/provided to the client.

Upon handing over the End-Of-Meeting Archive folder, Lumi will then ask their client to sign and date a ‘Data Release Form’ which permits Lumi to permanently delete the meeting database from the server.
