When a major international sporting federation set out to deliver a series of votes and elections across its governance cycle, the operational brief was exacting. Multiple voting environments, distinct voter groups, independent audit oversight, hybrid participation and multilingual access.

Across an opening conference, an on-site Athletes’ Commission election, and a hybrid closing ceremony, Lumi Global provided a secure, fully auditable election framework that withstood international scrutiny.

Opening conference: secure constitutional decision-making

The federation’s opening conference was held in person and included the election of executive board members, approval of new member admissions, and votes on constitutional matters.

Using the IML Connector audience response system alongside secure smartcard authentication, each in-room participant was verified before being issued a voting device. This ensured strict identity control, accurate voter eligibility management, and a clear audit trail from authentication through to the final result.

Votes were captured and tabulated in real time, with structured reporting aligned to the governance standards expected of an international federation. The process combined the familiarity of an in-person assembly with the security and precision of digital infrastructure.

Athletes’ commission: flexible on-site voting with record participation

The Athletes’ Commission election took place during the sporting event itself, with voting facilitated through secure kiosks positioned within the venue.

Rather than requiring a single scheduled voting window, athletes could cast their ballots at a time that suited them during the sporting event. This provided flexibility without introducing geographic or time-zone complexity, as all eligible voters were physically present in the same location.

Athletes accessed the system by scanning the QR code embedded on their official name badges. A secure single sign-on framework authenticated each individual against the federation’s database before granting ballot access.

The election required athletes to select four candidates from two candidate sets. The entire process and final results were independently audited by one of the world’s leading global auditing firms. The system delivered fully auditable, end-to-end verifiable results supported by comprehensive reporting logs.

Participation reached 84 percent, the highest response rate in the commission’s history. The availability of the platform in multiple languages further supported accessibility across a globally representative athlete body.

Closing ceremony: hybrid ratification delivered with parity

The governance cycle concluded with a hybrid closing ceremony, delivered using an integrated deployment of the IML Connector system and the Lumi Platform.

Members attending in person once again used IML Connector devices, authenticated via secure smartcards, to maintain consistent identity control and audit integrity. Virtual participants accessed the Lumi Platform through single sign-on authentication directly against the federation’s database.

Once logged in, remote members were able to participate in discussion via text or voice through integrated Zoom functionality. Parity between in-room and online participants was maintained throughout, ensuring equal opportunity to engage and vote regardless of location.

During the ceremony, members formally voted to confirm the four candidates selected by the athletes, ratifying their membership for a four-year term. The result was a fully integrated hybrid election that upheld governance standards while enabling secure global participation.

Governance without compromise

What distinguishes this deployment is the continuity of governance across environments. In-person constitutional voting, flexible on-site kiosk elections, and hybrid ratification were all delivered within a unified framework of authentication, auditability, and controlled access.

From smartcard-enabled voting devices to database-driven single sign-on, each stage reinforced the integrity of the process. Independent audit oversight provided further assurance that outcomes were verifiable and defensible.

For international sporting bodies, elections shape leadership and representation for years to come. They require systems capable of balancing accessibility with rigorous control.
